8-6. Project meetings

Project meetings represent one of the least liked activities in project  environments. However, they are useful for gaining and documenting commitment on important project decisions. Here  are some guidelines on how to run effective project meetings.  

Meetings should be held primarily for group decision making

  • avoid weekly progress report meetings
  1. Plan the meeting
  2. Start on time
  3. Identify meeting leader(s)
  4. State meeting objectives
  5. Assign a person to take minutes
  6. Keep meeting on track
  7. Enforce respect for all participants
  8. Summarize meeting achievements
  9. End the meeting on or before scheduled time
  10. Distribute minutes within one working day (agreements and commitments)
